If your team uses a shared mailbox (like abc@yourcompany.com or xyz@yourcompany.com) in Microsoft Outlook, you might wonder how to access it from your Outlook app 

✅ What is a Shared Mailbox?

A shared mailbox allows multiple people to send and receive emails from a common email address. It’s super helpful for teams like customer support, HR, finance, or any group that needs to manage emails together.

💻 How to Add a Shared Mailbox in Outlook (Desktop App)

  • Open Outlook: Launch your Microsoft Outlook app on your computer.
  • In the top-left corner, click File.
  • Click Account Settings: Then click Account Settings again from the dropdown.
  • In the Email tab, select your email account (it’s probably already highlighted), then click Change.
  • In the new window, click More Settings (bottom right corner).
  • Go to the Advanced tab.
  • Under Mailboxes, click Add.
  • Type the name or email address of the shared mailbox (e.g., support@yourcompany.com).
  • Click OK.
  • Click Next, then Finish, and finally Close to exit all windows.
  • Close Outlook and reopen it.


🧑‍💻 What If You’re Using Outlook Web (OWA)?

You can also add a shared mailbox in Outlook Web. Here's how:


Step 1: Go to Outlook Web

Open your browser and go to https://outlook.office.com


Step 2: Log in to Your Account

Use your Microsoft 365 email and password.


Step 3: Right-click on Folders

On the left panel, right-click on Folders or your email name.


Step 4: Click "Add Shared Folder"

Choose Add shared folder or mailbox.


Step 5: Enter the Mailbox Name

Type the email address of the shared mailbox and click Add.


Done! The mailbox will appear in your left panel.

Note: Make sure your admin has granted you permission to access the shared mailbox. If you don’t see the mailbox after adding it, contact your IT team.
